Enhancement Release 5.0 - AB and BC Licence lookups

Most of what is being released is just an extension of the existing licence integration functionality to two new provinces - British Columbia and Alberta.

Net New Licence Creation

When an individual adds a new licence for Alberta or British Columbia (they can do this either when they are creating their profile for the first time, or in their APEXA profile after they’ve onboarded), they will now be presented with the integration screen (similar to what is currently in place for Saskatchewan).

1. The user will first be asked to select their issuing province, and if they select Saskatchewan, British Columbia or Alberta they will be presented with a screen prompting them to enter their licence number (see Appendix A for a sample of each of these screens). For BC and Alberta, the licence number prefix is automatically applied in the UI (see Appendix A) so that users know they don’t have to enter that part of their licence.

2. After their licence is found on the corresponding regulator website, the user is presented with the match to confirm that the licence details are correct (please see Name Match and Failures below for details about how the system works when no match is found).

3. After they have confirmed their licence, all of the licence details are now available on their profile, and to all partners they work with, and the licence is already Verified.

When searching for the licence on the regulator’s website, the system is using the profile name on APEXA and the licence number they’ve entered.

If an advisor’s licence cannot be found, an error message is displayed.

The advisor or corporate representative is given three tries to find their licence, after which the manual entry page is presented. They can enter the licence information manually which is then validated manually (with a 2 day turnaround).

Licence Renewal Monitoring

The system monitors each Saskatchewan, Alberta and British Columbia permit daily to control expiry dates - again, using the profile name & licence number to check the provincial website. This means that the day after an advisor or company renews their licence, they will see the new information reflected in the APEXA system.
Prior to renewal, the advisor or firm will continue to receive notifications of impending expiry and, once the licence is renewed, notifications will automatically cease.
