Name Change
Erroneous Name Changes
Individual advisors or corporations must be provided with a mechanism for correcting an error in their name. Individuals will not be required to provide supporting documentation for a name change of this type. APEXA will be presented with the original legal name listed on the system, along with the suggested error-corrected name and will be tasked with using their discretion to determine the validity of the error. If it is not clearly an error (e.g. Micheal > Michael), APEXA will reject the name change request and ask the advisor to provide documentation (see Legal Name Changes below).
Legal Name Changes
If the name change is a legal name change, the advisor or corporation will be required to provide one of the following documents:
Marriage Certificate;
Certificate of Divorce;
Legal Name Change Certificate;
Articles of Amendment; or
Certificate/Legal Document of Separation
Manual Validation
If a name change has been requested, APEXA will validate that the supporting documentation is of one of the types from the list above. If it is not, the name change will be rejected (and this reason provided).
If the supporting documentation is one of the types from the list above, APEXA will verify that the new name, as entered into the system, matches the new name as it appears on the supporting documentation. If it does, the name change will be accepted. If not, the name change will be rejected (with this reason provided).
If a name change is accepted, the system will present APEXA with the advisor/corporation’s resident licence. If the new name now listed on the profile does not match the name listed on the resident licence, the licence will be rejected (with this reason provided).
The system will also present APEXA with the advisor/corporation’s E&O Coverage(s). If the new name now listed on the profile does not match the name listed on the E&O Coverage(s), the coverage will be rejected (with this reason provided).
Note: the documentation provided at the time of the request (e.g. Marriage Certificate) will be available to any partner via the advisor’s/corporation’s profile, once they are verified by APEXA.
Advisor Notification
If the name change is approved or denied, the advisor will receive an email notification and see this information on his/her dashboard.
If the advisor’s licence or E&O moves into the “rejected” status, they will be notified by e-mail, but after that APEXA will perform no subsequent follow-up.
