1.2 Inviting Corporations and Advisors from InTrust

The following improvements have been made to the InTrust area to facilitate the onboarding of Corporations and Advisors into the system. 

1.2.1 Uploading Documents in InTrust 

Partner organizations can add articles of incorporation,corporate documents (e.g., articles of incorporation), licence and E&O attachments for corporations and advisors in InTrust. Either a single file or multiple attachments can be added to a record, ift multiple files are attached they will be zipped into one file available to the user when they complete their profile. This zip file will be accessible to download by the user during or after onboarding, as part of the data validation process and is available to the partner organization once the profile is complete.  

 The intention behind this change is to help the partner facilitate onboarding on behalf of the advisor or corporation by pre-filling as much information as possible thereby making the onboarding process easier and more efficient for them. Being able to provide supplemental supporting documentation increases the probability that the information required during the data validation process has already been provided, thereby reducing the volume of records being rejected due to an incorrect attachment or missing documentation.

Description of Change:  

  • The system will allow the partner to add single or multiple attachments as necessary for corporate registration documentslicence and E&O records. If multiple files are provided, they will be zipped into one file during the onboarding process.  

  • The user can download single files or zip files at their discretion in order to attest to the information pre-filled on their profile by the partner. 

  • Records that include only one attachment will not be zipped and can be downloaded and edited as usual.  

  • The user can make edits to the content of the zip file by editing the file attachments in the record directly. When the changes are saved, the system will update the zip files with the new content. 

  • Any record can be removed in entirety at the discretion of the user at any time. 

  • Edits can be made in InTrust to any of the supporting documentation (either adding or deleting records) until the user has started the onboarding process and their corporation or Advisor record is marked as ‘ImportedAny edits made prior will be reflected to the user when they complete their profile. 

  • The system will not allow files with duplicate names to be added to the same record so each attachment must have a unique file name. If a duplicate is attached, the record cannot be saved until the duplicate has been removed. The user will receive a ‘Document names must be unique.’ error. 

  • Any document attached in Intrust will continue to follow the APEXA validation process to make sure it meets compliance requirements of the industry. 


Corporation Records:  

  • A new section has been added on the ‘Details’ menu for all corporation records where the partner can add corporate registration documents on behalf of the corporation 

  • This is an optional field that can be used at the discretion of the partner. 

  • To add a record, select ‘Edit’ and then use the browse functionality under the ‘Please upload a copy of your corporate registration documents’ field and select a file on your local computer to attach.  


Corporation Record & Advisor Record:  

  • A new field has been added to the licence menu for both a corporation and advisor record called ‘Please upload a copy of the licence’ where the partner can attach single or multiple files in order to prefill this information on behalf of the user.  

  • This is an optional field that can be used at the discretion of the partner. 

  • A new field has been added to the E&O menu for both a corporation and advisor record called ‘Please upload a copy of the E&O certificate’ where the partner can attach single or multiple files in order to prefill this information on behalf of the user.  

  • This is an optional field that can be used at the discretion of the partner. 

  • Note: In order to maintain the integrity of the Axis integration through the HUB program and to ensure that users in this program continue to receive ongoing monitoring of their E&O, the option to add an Axis Reinsurance record has been disabled in InTrust.
