1.3 Creating a Profile in APEXA
Several changes have been introduced to the onboarding wizard in the system to help facilitate profile creation. Namely updates have been made to the Welcome Screen to tailor the information displayed on this screen to the profile type being completed, additional pop-ups have been added to the Single Advisor Corporation profile wizard to clearly identify which profile type is being completed, additional information has been added when a user declares they do not have licence coverage and users are able to add multiple documents for a name change, article of incorporation, licence and E&O record when they create their profile.
1.3.1 Onboarding Wizard Welcome Screen
The Welcome Screen in the onboarding wizard has been updated to reflect the information which is required to be provided in order to complete a profile in the system. The information displayed inon this screen will display differently based on the type of profile being completed (Advisor, Single Advisor Corporation or Multiple Advisor Corporation). Providing this information helps to set the expectations of the user as to what information they are required to have on hand in order to complete their profile. The intention is for the user to assemble all necessary information before they start so they don’t abandon the process midway.

If an Advisor is completing a profile in the system, they will be presented with the following Welcome Screen:

Your residential and business address history for the last 5 years
Digital copy of your E&O policy
A digital copy of your provincial licence(s) (unless the licencing province does not issue a physical document)
A digital copy of your standard advisor disclosure statement
A digital copy of your needs based sales practices
If a Single Advisor Corporation is completing a profile in the system, they will be presented with the following Welcome Screen:
Welcome to APEXA
You have received an invitation to set up your advisor account for [Advisor full name] as well as the corporate account for [Corporation name].
Before you begin, make sure you have:Selling codes for your corporate carrier contracts* (legacy Single Advisor Corporations only)
Your residential and business address history for the last 5 years
A digital copy of your E&O policy for yourself and your corporation
A digital copy of your corporate and personal provincial licence(s) (unless the licencing province does not issue a physical document)
A digital copy of your standard advisor disclosure statement
A digital copy of your needs based sales practices
Digital copy of your corporate documents (e.g., articles of incorporation)
A list of shareholders for your company
If a Multiple Advisor Corporation is completing a profile in the system, they will be presented with the following Welcome Screen:
Welcome to APEXA
You have received an invitation to set up the corporate account for [Corporation name].
Before you begin, make sure you have:Selling codes for your corporate carrier contracts* (legacy Mult Advisor Corporations only)
Corporate business address history for the last 5 years
Digital copy of your corporate E&O policy
A digital copy of your corporate provincial licence(s) (unless the licencing province does not issue a physical document)
Digital copy of your corporate documents (e.g., articles of incorporation)
A list of shareholders for your company
1.3.2 Single Advisor Corporation Profile Being Completed
The profile wizard for a Single Advisor Corporation will guide the user through setup of an advisor profile and a corporation profile. In order for the user be very clear which profile they are currently in the process of completing, additional pop-ups have been added to the onboarding wizard to clearly identify when they are completing a personal profile vs. a corporate profile.

Description of Change:
After the Welcome Screen, the user will be taken advisor personal information screen where they will be presented with the following pop up: ‘To start you’re going to complete your personal profile. Once you’re done, you’ll complete your corporate profile. Click “OK” to get started’.
Once the user completes the onboarding steps for the advisor profile, the following popup will be displayed: ‘Congratulations! You have finished setting up your advisor profile. The next series of screens will lead you through building your corporate profile. Click "OK" to start building your corporate profile’.
These popups will only display on the first time the user navigates throughpassthrough the profile wizard. If the user has completed the advisor setup and navigates back to the advisor profile, they will not see the pop-up a second time when they return to the corporation profile setup.
1.3.3 No Licence Declaration
If a user declares that they do not have a licence at the time of creating a profile, a popup messaged will be displayed to them to indicate that there could be downstream impact of this declaration. This gives the user an opportunity to clarify their response if they have answered it incorrectly and standardizes the messaging between declaring no E&O and declaring no licence coverage.

Description of Change:
When a user declares that they do not have a licence during onboarding, they will be presented with the following pop-up: ‘You have declared that you do not have a licence. This will reflect on your profile information to [Legal name of the MGA that has sent the invite]. Just to confirm, do you have a licence?
Yes, I have a licence and will add it now.
No, I am applying for licence sponsorship as I do not yet have a licence.
If the user selects ‘Yes’, they will have the opportunity to add a record accordingly.
If the user selects ‘No’, the no coverage declaration will be applied.
1.3.4 Attaching Multiple Files During Profile Setup
Users can add single or multiple files for name change, articles of incorporation, licence and E&O as they complete their profile in the system and after their profile is complete. Giving users the flexibility to add multiple documents increases the likelihood that their information will be accepted by the Apexa data validation team as it provides them the opportunity to include multiple attachments that support the information entered on their profile. This will reduce the volume of rejected records as well as, the back and forth from the data validation team to the user to requesting that different supporting documentation be attached.

Description of Change:
The system will allow the user to add single or multiple attachments as necessary for name changes, corporate registration documents, and licence and E&O records. If multiple files are provided for the same record, the files will be zipped into one file.
This zip file will be accessible to download by the user during profile setup as soon as the record has been saved.
Records that include only one attachment will not be zipped and can be edited as usual.
The user can make edits to the content of the zip file by editing the record directly. When the changes are saved, the system will update the zip file contents.
The zip file and all contents will be available to the Apexa data validation team during the document validation process.
Once the profile is complete the zip file and all attachments will be available for download for the partner organization.
Any record can be removed in entirety at the discretion of the user at any time.
All file attachments must have a unique file name. If a duplicate is attached, the record cannot be saved until the duplicate has been removed. The user will receive an error stating: ‘Document names must be unique.’ error.
