Getting Started (Advisors)
Advisor Invitation
As an advisor, you will receive an email invitation from your MGA or AGA to join APEXA - the sender on the email will be notifications@apexa.ca. If this is the first email invitation you've received, you will be required to create a profile for yourself. APEXA profiles include the same information that is requested on the Advisor Screening Questionnaire (ASQ) recommended by the Canadian Life & Health Insurance Association (CLHIA).
Your First Invitation
The first email invitation you receive from APEXA will be used to register the email address you'll use to access APEXA. Once your account has been created, you won’t need to repeat these steps – you can log right into your profile (see Logging into APEXA).
You only need to follow the account setup process once. If you receive additional invitations, please see Subsequent Invitations below.
- Open the APEXA invitation email you received.
- Click on the Get Started button to verify and register your account.
- Clicking the link above will bring you directly to the APEXA registration screen. The link will also automatically populate the Token field on the registration page – do not change the token.
- Enter your First and Last Name, the Email Address and Password you will use to login to APEXA going forward.
- Click Register.
- Scroll through and read the Privacy Consent information and click Accept.
- Once you have accepted the Privacy Consent statement, a message will be displayed indicating that your account has been successfully registered.
- After you have successfully registered, go back to your email inbox. You will receive a second email asking you to confirm your account with APEXA. Click on the Confirm Account link in the email to verify your email address and complete your registration.
- Clicking on the link in the email will bring you to the Confirmation page.
- To complete your registration, click on the Proceed to Login button.
- You will be taken to the main APEXA login screen. We recommend you bookmark this page so you can easily access it going forward.
- Enter the Email Address and Password you setup in step 3 and click Login.
- Scroll through and read the Website Terms of Use information and click Accept.
You're now ready to setup your Advisor profile.
Subsequent Invitations
There may be circumstances when you will receive multiple invitations to the APEXA system.
- You may work with more than one MGA.
- You may have direct contracts with one or more Carriers - no MGA involved.
- You may decide to incorporate your business and now need a Corporate profile, in addition to your Advisor profile.
APEXA will allow you to link additional invitations to the same email address you registered with your first invite (see Your First Invitation). This means you can use the same login (email address and password) to manage all your information and profiles on APEXA. If there is a reason you'd like to keep your accounts completely separate, you would need to register a different email address and follow the steps outlined in How To - Register Your Email Address above.
- Open the subsequent invitation you wish to link to your existing account.
- Click the Add my Contracts button in the invitation.
- You will be re-directed to the login page. Login to your existing account.
- After logging in, you will be directed to the Tokens screen.
You will now see the contracts related to your subsequent invitation in the list of invitation tokens.
There's one more type of additional invitation you may receive.
- You may receive an employee invitation from a Corporation on APEXA.
This type of invitation will clearly state that it is to setup an employee account for a specific company.
Once again, you can link this type of invitation to the same email address you used for your Advisor profile. Your Advisor profile and the Corporation profile will still be separate, you'll just be able to access both through the same login.
- Open the employee invitation you wish to link to your existing account.
- Click the Get Started button in the invitation.
- You will be taken to a Register Account page. On the right, under Already have an account?, click the Login and link invitation button
- This will bring you to a Login screen, where you can enter your existing login details.
Once you've entered your email & password, click the Login and link this account button.
- This will log you into your APEXA account where you will see the Select Profile screen, listing the different profiles you can access.
If you wish to keep your employee access completely separate from your Advisor profile, you'll need to setup a register a new account using a different email address.
- Open the employee invitation you wish to link to your existing account.
- Click the Get Started button in the invitation.
- You will be taken to a Register Account page.
- Enter your First and Last Name, Email Address and Password.
- Important: The email address you use must be different than the one you use for your Advisor profile.
- Click the Register button.
- Scroll through and read the Privacy Consent information, then click Accept.
- If you used the email address the employee invitation was sent to, you will be logged in as an employee of the Corporation and your registration is complete.
- If you used a different email address than the one the employee invitation was sent to, a confirmation email will be sent to the email address you registered.
- Click on the Confirm Account link in the email to verify your email address and complete your registration.
- On the confirmation screen that opens, click the Proceed to Login button to login as an employee of the Corporation.
Logging in to APEXA
After you have successfully created your account, you can login to the APEXA portal at any time accessing https://portal.apexa.ca.
Login to APEXA by using the email address and password you previously registered and then clicking on the Login button.
To recover a lost password, click Forgot Your Password and follow the instructions.
You will be automatically logged out after 25 minutes of inactivity on the APEXA portal.
Once you have accepted the consent, you will be directed to the APEXA portal welcome page.
The APEXA Basics
Navigation Panel
You can click on a section in the navigation panel to work with that section. Depending on the section that you select, additional sub-sections may appear underneath the section name.
Breadcrumb Trail
As you navigate through the Portal, a breadcrumb trail expands at the top of the screen: click on the appropriate link within the breadcrumb to return to that previous screen.
Data Entry Conventions
- Name fields of all types are limited to 255 characters.
- To delete data, click the garbage can icon and respond to the prompt to confirm/reject the deletion. The data cannot be deleted if it is in use.
- T o edit data, click the pen icon adjacent to the data
- For all fields that contain completed data, a check mark icon will appear.
- For all required fields, a red star icon will appear adjacent to the field.
Wizard and Multi-screen Data Entry
When completing tasks in the system that involve more than a single screen of data, you may be prompted through a wizard. The wizard will display a progress bar at the top of the screen to indicate the progress towards completions.
