Enhancement Release 12.9.0 -Contract Comments

Overview of Changes

The system has been updated to generate a task/notification each time a comment is left on or modified on a contract. Clients will have the option to opt into this functionality by editing their existing triggers.

This improvement does not currently extend to contract requests.

New Features and Improvements

  1. Comment Deletion Placeholder: A placeholder will be displayed when comments are deleted from a contract. 

  2. Remove Comment Documents: Users now have  ability to remove comment documents for non-system generated comments.

  3. Multiple Attachments: Users can now add more than one attachment to a comment.

  4. AODA Compliant Scroll Bar: The scroll bar in the contracting area has been made AODA (Accessibility for Ontario's with Disabilities Act) compliant. 

 

Contract Comments -Task Generation/Notification

Once clients have opted into the new functionality, they will receive a task/notification each time a comment is left or modified on a contract. 

A modification includes, any changes to a comment property, such as comment type, content, documents or privileges. 

Tasks will not be generated in the following scenarios:

  • The comment is modified on a contract, but the edit is not saved.

  • The edit is the same as the previous state.

  • The comment is deleted from a contract.

As the task generation job runs every 30 minutes, it is possible that a comment could be added to or modified on a contract and subsequently deleted within the same 30-minute window. In this scenario, a task will still be created, as the criteria to generate a task were met at the time of processing.

Placeholder for Deleted Comments

When a comment is deleted from a contract, a system-generated placeholder comment will be created to reflect this change. The placeholder will include the following information:

  • Date the comment was added.

  • Name of the organization that left and deleted the comment.

  • Date the comment was deleted.

  • Comment type.

  • Indication of whether documents were included in the comment.

Ability to Delete Documents

For general comments that are already eligible for modification, users will now have the ability to remove attached documents.

Please note that this functionality does not apply to system-generated comments (e.g., comments created when a contract is terminated, upgraded, etc.), as these comments cannot be modified by users.

Allow Multiple Attachments

Users can now add more than one attachment to a comment. 

Scroll Bar -AODA Compliance

The scroll bar in the contracting area has been made AODA (Accessibility for Ontario's with Disabilities Act) compliant. 

 

Opt Into New Functionality

To opt into the new functionality, clients will need to edit their existing saved searches, from which your triggers are built.

This edit should be made after February 5th, when the changes go live.

  • If your existing trigger includes the 'Added Within (Days)' filter criteria, that value will need to be removed in order to receive all notifications going forward.

  • This filter criteria will remain available for searches to return contracts with comments added within the defined date range, but it can no longer be part of your trigger criteria.

  • If this value is not populated in your existing search criteria, any other edit to the criteria will migrate you to the new functionality. You can edit your search and then revert it back to the correct criteria.

  • If you do not edit your existing searches or if the 'Added Within (Days)' filter remains populated, notifications will continue to be generated at the same frequency and intervals as they are currently
